This Privacy Policy describes how ParFour, Inc. (“ParFour,” “we,” “us,” or “our”) collects, uses, discloses, and retains information when you use our websites, mobile applications, and related services, features, content, tools, and products that link to this Privacy Policy (collectively, the “Services”).
This Policy includes a specific section for children and parent-managed Child Profiles. If you create or manage a Child Profile, please read Section 10 carefully.
1. Company and Contact Information
ParFour, Inc.
7973 Lake Nellie Rd.
Clermont, FL 34714, USA
Privacy and support requests: support@parfour.com
2. Scope and Roles
This Policy applies to information ParFour processes through the Services. It does not govern a third party’s independent practices, including an Organizer’s use of information outside ParFour or a third-party website or service linked from the Services.
Clubs, schools, tours, leagues, facilities, coaches, event organizers, and other organizations (“Organizers”) may use the Services to administer events and participants. Depending on the context, ParFour and an Organizer may each determine how information is used for their respective purposes. Contact the Organizer about its independent privacy practices and ParFour about ParFour’s practices.
3. Information We Collect
3.1 Account, profile, and identity information
We may collect name, username, email address, telephone number, profile photo, biography, date or year of birth, age range, home course, organization or team affiliation, role, credentials, and information used to verify identity, authority, age, parental status, or organizational status.
3.2 Child Profile and guardian information
For a parent-managed Child Profile, we may collect the child’s name, username, age or date of birth, profile photo, team or organization, event participation, scores and performance, media, and settings. We may also collect the parent or guardian’s name, contact information, relationship to the child, consent choices, consent verification records, account linkage, and requests concerning the Child Profile.
3.3 Event, activity, and performance information
We may collect event registrations, rosters, attendance, schedules, pairings, scoring records, timestamps, league or tournament history, simulator data, training or performance information, interactions, engagement, and other event-operational data.
3.4 User content, media, and communications
We may collect photographs, videos, livestream video and audio, clips, voice recordings, captions, comments, messages, logos, support communications, and other content submitted through the Services. Media may include a person’s name, image, voice, likeness, location, score, performance, organization, and event participation.
We do not use photographs, video, or audio to create biometric identifiers or perform facial or voice recognition unless we provide a specific notice and obtain consent required by law.
3.5 Location information
With device or user permission, we may collect precise GPS location to support scoring, mapping, course overlays, livestream overlays, safety features, or other location-based functions. We may infer approximate location from IP address. At indoor facilities, location or performance information may come from the venue or simulator rather than GPS.
3.6 Device, network, and usage information
We may automatically collect IP address, device identifiers, device type, operating system, browser, app version, language, settings, pages or screens viewed, interactions, referring source, timestamps, crash reports, diagnostics, security events, cookies, SDK data, and similar technical information.
3.7 Contacts
If you enable an invite or connection feature, we may request permission to access selected contact names, telephone numbers, or email addresses. You may decline. We use contacts only for the feature you request and related security and support.
3.8 Payment, Connected Account, and transaction information
When you make a purchase or use Stripe Connect, we may collect transaction amount, date, purchaser and seller identifiers, event or offering, fees, refund and dispute status, receipts, billing ZIP or postal code, payment method type or token, payout status, and related risk or compliance information. ParFour does not store full payment-card numbers when Stripe or another processor handles the payment.
Connected Account information may include legal name, business information, representatives, verification status, tax information, bank or payout information, transaction history, disputes, reserves, and Stripe account identifiers. Stripe separately processes information under its agreements and privacy policy.
3.9 Advertising and attribution information
For adult users, we may collect campaign identifiers, referral information, ad interactions, device advertising identifiers, and similar attribution data where permitted. We do not knowingly use Child Profile information or personal information collected from children under 13 for targeted advertising or sale.
3.10 Information from other sources
We may receive information from parents and guardians; Organizers and their authorized users; other participants; Apple, Google, and login providers; Stripe and payment networks; venues and simulator providers; course-data and mapping providers; analytics, security, fraud-prevention, attribution, support, and hosting providers; and public or lawful third-party sources.
4. How We Use Information
We may use information to:
- create, authenticate, link, and manage accounts, Child Profiles, and organizational roles;
- provide event registration, scheduling, rosters, scoring, location, simulator, media, livestreaming, communications, payments, refunds, dispute, and support features;
- display profiles, content, scores, activity, and event information according to settings and permissions;
- verify age, identity, authority, parental status, consent, Connected Account status, and transaction eligibility;
- personalize and improve features, conduct analytics, troubleshoot, test, and develop new features;
- create clips, highlights, recaps, previews, and event or platform content as described in the Terms of Service;
- communicate about accounts, events, transactions, safety, support, legal terms, and product updates;
- protect children and other users, moderate content, prevent fraud and abuse, enforce agreements, and secure the Services;
- process subscriptions, purchases, application or platform fees, payouts, refunds, reversals, and chargebacks;
- market and promote ParFour and the Services using adult-user information and properly authorized content;
- comply with legal, regulatory, tax, accounting, payment-network, and law-enforcement requirements; and
- establish, exercise, or defend legal claims.
For information collected from a child under 13, we limit use to the purposes described in the direct notice and covered by verified parental consent or another lawful basis. School-authorized information is used only for the educational purposes authorized by the school and not for unrelated commercial purposes.
5. How We Disclose Information
We may disclose information in the following circumstances.
5.1 At your direction or through service features
We disclose information when you register for an event, join an organization, submit content, make a profile or event public, livestream, message another user, connect a payment account, or otherwise use a sharing feature. The audience depends on the feature and settings.
5.2 Organizers and authorized users
We disclose participant information to the Organizer administering the applicable event or organization, including registration, contact, guardian, roster, scoring, attendance, media, communications, payment status, and support information reasonably needed to perform that role. Organizers may have their own legal obligations and policies.
5.3 Service providers
We disclose information to vendors that provide hosting, storage, content delivery, communications, customer support, analytics, security, fraud prevention, identity or parental-consent verification, payments, maps, course data, media processing, and other services for ParFour. They may use information only to provide contracted services or as otherwise permitted by law.
For children’s personal information, we take reasonable steps to determine that recipients can maintain its confidentiality, security, and integrity, contractually restrict use, and periodically assess their compliance as appropriate.
5.4 Stripe, banks, and payment networks
We disclose Connected Account, purchaser, transaction, registration, attendance, communications, refund, and dispute information to Stripe, banks, card networks, and other payment participants to process payments and payouts, prevent fraud, comply with financial rules, and handle refunds, reversals, and chargebacks.
5.5 Public and community visibility
Depending on settings, event configuration, and consent, profile information, rosters, scores, results, media, livestreams, comments, and activity may be visible to event participants, organization members, other users, or the public. Public information may be copied, recorded, or reshared by others. ParFour cannot control third parties after they independently receive public content.
Child Profiles receive protective settings or restrictions as ParFour determines appropriate. ParFour does not knowingly make personal information from a child under 13 public without verifiable parental consent covering that disclosure.
5.6 Business transfers
We may disclose information in connection with a financing, merger, acquisition, reorganization, bankruptcy, sale of assets, or similar transaction, subject to applicable law and appropriate confidentiality measures.
5.7 Legal, safety, and enforcement
We may preserve and disclose information when we reasonably believe it is necessary to comply with law or legal process; protect a child or other person; investigate fraud, abuse, harassment, exploitation, or security incidents; enforce agreements; protect rights and property; or respond to an emergency.
5.8 With consent
We may disclose information for another purpose described when consent is requested.
6. User Content and ParFour Media Use
User content may be stored, processed, displayed, modified, distributed, and used as described in the Terms of Service. Those Terms include a license allowing ParFour to operate and improve the Services; create clips, highlights, recaps, and other features; and publicize, market, and promote ParFour, the Services, and featured events, subject to this Policy, settings, consent, and applicable law.
Where media includes a minor, ParFour may require a parent or legal guardian’s media release or other affirmative consent. For a child under 13, ParFour will not use Child Profile media for a new promotional or unrelated commercial purpose unless the required verifiable parental consent covers that purpose. A school’s authorization for educational use does not authorize unrelated promotional use.
If you delete media or withdraw consent, we will process the request as described in the Terms and this Policy. Copies may remain temporarily in backups or where necessary for security, legal compliance, disputes, or materials already produced and distributed, except where law requires further deletion or cessation.
7. Cookies, SDKs, Analytics, and Advertising
We and our service providers may use cookies, SDKs, local storage, pixels, and similar technologies for authentication, preferences, functionality, analytics, diagnostics, security, fraud prevention, and attribution. You can control some technologies through browser, device, and app settings, although disabling them may limit functionality.
If ParFour engages in targeted advertising or a disclosure defined as “sale” or “sharing” under applicable state law, ParFour will provide required notice and opt-out methods. ParFour does not knowingly sell personal information of a child under 13 or use or disclose it for targeted advertising. We require separate verifiable parental consent before any third-party disclosure of a child’s personal information that requires such consent under the Children’s Online Privacy Protection Act and its regulations.
8. Data Security
We use administrative, technical, and physical safeguards designed to protect information, taking account of its sensitivity and the nature of the Services. These measures may include access controls, authentication, encryption in transit, monitoring, vendor controls, and incident-response procedures. No system is completely secure, and we cannot guarantee absolute security.
You are responsible for protecting credentials, device access, and information you choose to make public. Contact support@parfour.com promptly if you believe an account or Child Profile has been compromised.
9. Retention and Deletion
We retain information only for as long as reasonably necessary for the specific purpose for which it was collected, including providing the Services; maintaining event, scoring, transaction, and consent records; fulfilling settings and user expectations; resolving disputes; enforcing agreements; preventing fraud and abuse; maintaining security and business continuity; and complying with legal, tax, accounting, and payment requirements.
We maintain a retention program that considers the category and sensitivity of information, purpose of use, user and Organizer expectations, legal requirements, and technical deletion cycles. When information is no longer reasonably necessary, we delete it or deidentify it using reasonable measures designed to prevent unauthorized access or use.
Children’s personal information is not retained indefinitely. We delete or deidentify it when it is no longer reasonably necessary for the specific purpose for which it was collected. A parent may request deletion as described below. A deletion request may not remove information that we must retain by law or that has been lawfully deidentified so it cannot reasonably identify the child.
10. Children’s and Youth Privacy
10.1 Parent-managed Child Profiles
A child under 13 may not create or control an independent account. A parent or legal guardian must create and manage a Child Profile or use another ParFour-approved process. Before knowingly collecting personal information online from a child under 13, ParFour will provide the parent a direct notice describing the information, purposes, disclosures, retention, and choices, and will obtain verifiable parental consent unless a legal exception applies.
10.2 Information collected from children
Depending on the features authorized, information may include name, username, age or date of birth, contact information, organization or team, event registration and participation, scores and performance, profile image, photographs, video, voice, livestreams, precise or approximate location, device identifiers, usage and security information, and communications.
ParFour will not condition a child’s participation on providing more personal information than is reasonably necessary for the activity. Features involving public posting, precise location, livestreaming, contacts, promotional media, or disclosures beyond service providers may require additional or separate parental consent.
10.3 Parent rights and choices
A verified parent or legal guardian may request to:
- review personal information collected from the child;
- correct inaccurate information;
- delete the child’s personal information;
- revoke consent and prevent further collection or use; and
- choose, where applicable, whether ParFour may disclose the child’s information to third parties when that disclosure is not integral to the requested Service.
Submit requests to support@parfour.com with the subject “Child Privacy Request.” We will verify identity and authority before granting access or changing a Child Profile. Revoking consent may require us to disable the Child Profile or affected features.
10.4 Schools
A school may act as a parent’s agent only in the educational context and only when the information is collected for the school’s use and benefit and not for another commercial purpose. ParFour provides the school with required notice and, upon appropriate request, access, deletion, and prevention-of-further-use controls. ParFour remains responsible for its own compliance duties. Schools and ParFour may also have obligations under FERPA, state student-privacy laws, and other education laws.
Separate parental consent may be required for extracurricular events; public profiles or rosters; social or messaging features; livestreaming; public media; precise location; advertising; or promotional and other commercial uses.
10.5 If information was collected improperly
If you believe ParFour collected personal information from a child under 13 without the required authorization, contact support@parfour.com. We will investigate and delete or take other appropriate action.
11. Your Privacy Rights and Choices
11.1 Account and communication choices
You may update certain profile information and settings in the Services. You may opt out of promotional email using the unsubscribe link, but we may still send transactional, safety, legal, event, and account notices.
You can manage device permissions for location, contacts, camera, microphone, photos, and notifications. Disabling a permission may limit related features.
11.2 U.S. state privacy rights
Depending on your state and subject to legal exceptions, you may have rights to access, know, correct, delete, or obtain a portable copy of personal information; opt out of certain targeted advertising, sale, sharing, or profiling; limit use of certain sensitive information; and appeal a denied request. You may also use an authorized agent where permitted.
Submit a request to support@parfour.com with the subject “Privacy Request.” We will verify the request and respond as required. We will not unlawfully discriminate against you for exercising privacy rights.
11.3 EEA, United Kingdom, and similar jurisdictions
Where applicable, ParFour processes information to perform a contract; pursue legitimate interests such as providing, securing, and improving the Services; comply with legal obligations; protect vital interests; or based on consent. You may have rights to access, correct, delete, restrict, object, or port information, withdraw consent, and complain to a supervisory authority.
11.4 Appeals
If we deny a privacy request and applicable law provides an appeal right, reply to our decision with “Privacy Appeal” in the subject and explain your concern.
12. International Transfers
ParFour is based in the United States. Information may be transferred to, stored in, and processed in the United States and other countries where ParFour or its providers operate. Where required, we use recognized transfer mechanisms and safeguards.
13. Third-Party Services
The Services may link to or integrate with third parties. Their privacy policies govern their independent processing. Review those policies before providing information. Stripe’s privacy practices apply to information Stripe processes for payments and Connected Accounts.
14. Changes to This Policy
We may update this Policy. If a change is material, we will provide notice through the Services, by email, or by another appropriate method before it takes effect. We will identify the effective date. Where required, we will obtain new consent before applying a materially different practice to previously collected information, including a child’s personal information.
